Support & help

Getting started, how the pricing works, and answers to the questions we hear most.

Getting started in five steps

  1. 1

    Create your company account

Sign up. This creates your organisation and makes you the Owner. Then set your VAT rate, currency and letterhead under Settings.

  2. 2

    Build your catalogue

Add labour types and rates, products (cost + markup), your standard actions and their crews, product packs and difficulty levels.

  3. 3

Add a customer and a job

Capture the customer and their site locations, then create the job you're quoting on.

  4. 4

Build, send and track the quote

Open the job, start a quote, add lines, fill in hours and products, then send a branded PDF and move it through to acceptance.

  5. 5

Win it, run it, bill it

Record the acceptance against the client's order number. The job grows Programme, Time and the site tabs; invoice from the Financials tab; log what it cost on Expenses. At month-end, download the pack for your accountant from Financials.

Frequently asked questions

How is a quote priced?

Each line carries labour and products. Labour = workers × hours × hourly rate × difficulty multiplier. Products = quantity × selling price (cost ÷ purchase quantity, plus markup), optionally scaled by difficulty. Line totals are summed with any allowances, then VAT is added. Everything is rounded to the cent per line so the figures always add up.

Can I enter labour in minutes instead of hours?

Yes. Each labour line lets you choose hours or minutes. The rate stays per-hour. Quotier converts minutes for you, so a 45-minute line is priced correctly without any manual maths.

What are difficulty multipliers?

Org-defined levels (e.g. Standard ×1.0, Confined space ×1.5) that scale a line's labour. You can also choose, per line, whether they scale products too.

What happens when I revise a sent quote?

Sending a quote freezes its prices. Revising creates a new version with the same quote number and a new revision number; the previous revision is kept and stays viewable. Catalogue price changes never rewrite a quote that's already been sent.

Who can do what?

There are four roles. Owners manage the organisation, settings and users. Admins manage the catalogue. Estimators build and send quotes. Viewers have read-only access.

Can clients see other companies' data?

No. Quotier is multi-tenant: each organisation's catalogue, customers and quotes are fully isolated.

How do branded PDFs work?

Add your logo and letterhead details under Settings. Every quote can be downloaded as a branded PDF with your details, the customer's site, and the enquiry and order numbers.

How does multi-company collaboration work?

An owner or admin whose organisation has the Collaboration module invites another company onto a job from the job page. The other company accepts from an emailed link - free, on any plan, into its own private account - then prices its share and shares its quote up at the level it chooses: total only, line titles, or full lines and prices. The main contractor imports the shared quote as a line on its own quote.

What does the other company see when we collaborate?

Only what you deliberately share: the documents you upload into the job's shared space, and your quote at the disclosure level you chose. Your catalogue, rates, customers and other jobs are never visible - and ending the collaboration revokes the live share.

How does billing work on a collaborative job?

The main contractor invoices the end customer as normal. When it issues a milestone, each subcontractor receives a matching draft invoice in its own account - the same proportion of its own agreed total, capped at its remaining balance - to review and issue back to the main contractor.

How do I hold retention on a job?

Set the rate on the quote header before the customer accepts; each draw then withholds it and prints claimed, withheld and payable. Release it with the Release retention button on the job's invoicing panel.

How do I record a part-payment?

On the invoice, Record payment: amount, the date it arrived, an optional reference. The invoice flips to paid by itself once the receipts cover the total.

How do I correct an invoice that's already paid?

Issue a credit note from the invoice page (admin and up). An unpaid invoice is voided and re-issued instead.

Where is the VAT201 working paper?

VAT returns, under Financials in the main menu, for an admin or owner of a South African organisation once its VAT number is on the Letterhead tab in Settings and VAT201 returns is ticked on the General tab. It's a capture aid; nothing is submitted.

Where do I export the month for my accountant?

Books export, under Financials in the main menu once an owner or admin switches it on in Settings → Features (it needs Invoicing): pick a period, download HTML or CSV. Gross wages are Payroll export, beside it, switched on the same way.

Why can't a viewer see cost?

Cost, markup and margin are estimator-and-up by design; pay rates are admin-and-up. A viewer's job page simply has no Expenses tab.
