Invoice off the quote you won, not off a blank page.
Draws come off the accepted quote and reconcile to the cent. Your VAT number and banking details freeze onto every issued invoice, in rand.

Sound familiar?
The invoice doesn't match the quote
Priced in one place, typed in another. The client's accounts department finds the gap before you do.
Nobody can say what is owed
A deposit landed, a progress claim went out, and the outstanding figure lives in three people's spreadsheets.
Chasing is a job nobody does
Overdue invoices go unchased for weeks, because chasing means rewriting the covering email every time.
How the money gets billed and collected
One accepted quote, one ledger, every draw measured against it.
Draws that reconcile
Deposit, progress and final draw against the accepted quote. Over-billing is refused, not warned about.
Direct invoices
A callout with no quote behind it bills straight, through the same builder. A job bills in one mode or the other, never both.
Part-payments
Each receipt carries its own date and reference, and the remainder is what shows as owed everywhere. Over-payment is refused.
Reminders you send
One button, your letterhead, replying to you. No schedule and no automatic dunning.
Statements and credit notes
Open items, ageing and ninety days of payments. Money already received is corrected on its own CN- series.
What Quotier deliberately will not do
Each one is a decision in the code, not a gap in the roadmap.
Dun your customers automatically
A reminder is a button. Who gets chased and when is a judgement about a relationship, not a cron job.
Connect to your bank
No feed, no credentials, no reconciliation. A payment is what you record.
Credit an unpaid invoice
Credit notes are for money already received. An unpaid invoice is voided and re-issued.
Be your books
No chart of accounts, no journals, no trial balance. Your accountant's books stay the authority.
Invoicing - common questions
Can I invoice a deposit before work starts?
Yes. It draws off the accepted quote, and everything after it is measured against what is left.
What happens when a variation is accepted mid-job?
The agreed total rises, so the balance left to invoice rises with it. Invoicing a variation is a fixed-amount progress draw.
Can I record a part-payment?
Yes. Every figure that says what is owed reads the remainder rather than the invoice total. Recording more than is outstanding is refused.
Do you file my VAT with SARS?
No. Quotier produces a VAT201 working paper as a capture aid for e-Filing. Nothing is submitted, and a box that cannot be honestly populated prints a sentence rather than a zero.
