Multi-company quoting & subcontractor collaboration

No one prices a big plant or mine job alone - there's always an electrical crew, a mechanical crew, a rigging sub. Quotier lets them quote it together, each from their own account. You decide how much of your number anyone else sees.

  • Invite any company - on Quotier or not
  • Your prices stay yours until you share them
  • Milestones cascade down as draft invoices

How multi-company quoting works

Today those numbers land by email and WhatsApp and get retyped into a master sheet the night before the tender closes. Here is the same job with the retyping gone.

Step 1

Invite

Invite any company onto the job - on Quotier or not. They accept into their own Clients and Jobs, or sign up first. No shared login, no one joins your account.

Step 2

Each company shares its quote up at the level it chooses: total only, line titles, or full lines and prices. Change your mind and re-share - nothing is locked in.

Step 3

Compile

The main contractor imports a subcontractor's shared quote as a line on its own quote, adds its own work, and chooses exactly what its customer sees.

Step 4

Bill up the chain

Issue a 30% deposit milestone and every subcontractor gets a matching draft invoice to review, adjust and issue back - reconciled to the cent.

The same quote, shared three ways - you pick the level

Level 1 Total only

Mechanical scope

Total R203 500.00

One number. Your breakdown stays yours.

Level 2 Line titles
Strip and remove drive assembly
hidden
Supply and install gearbox
hidden
Align, test and commission
hidden
Total R203 500.00

They see the scope, not your rates.

Level 3 Full lines + prices
Strip and remove drive assembly
R28 400.00
Supply and install gearbox
R151 600.00
Align, test and commission
R23 500.00
Total R203 500.00

The full breakdown, for a partner you price openly with.

Secure subcontractor price sharing

Collaboration opens one bounded space around a single job - nothing more. Another company sees only what you deliberately share up, at the level you set, and only for that job. Your catalogue, your rates and your other clients stay walled off.

A deeper chain - a rigging sub under the mechanical sub - is the same relationship repeated: at every link you control what you share, and nobody sees past the link they're on.

Private by default

Nothing is shared until you choose to share it. Silence discloses nothing.

Your level, per share

Total only, line titles, or full lines and prices - set it, change it, or stop sharing.

Bounded to the job

The shared space is this job alone. It never reaches your catalogue or your other work.

Shared job documents & private costings

The drawings, the method statement, the compiled quote live in one shared space every collaborator can see. Alongside it, each company keeps a private drawer on the same job - costings, supplier quotes, notes - never shared unless you put them there.

Subcontractor invoicing & milestones, drafted automatically

When the main contractor issues a milestone - say a 30% deposit - every subcontractor gets a matching draft invoice in their own account, drawn as the same proportion of their own agreed total. The sub reviews it, adjusts it, and issues it back up the chain.

Nothing is issued in your name automatically: the cascade only drafts, you issue. A draft can never bill more than your own remaining balance, so a proportional draw reconciles to the cent, both ways.

When the scope moves, ask a subcontractor to price the variation from inside the job - they see the request on their own Variations tab, and the quote they share back links to it.

Main contractor · Highveld Electrical

Deposit milestone - 30% Issued
Invoiced to Witbank Colliery R183 720.00

30% of the R612 400.00 job.

Subcontractor · Mpumalanga Mechanical

Matching draft - 30% of R203 500.00 Draft - yours to review
To invoice Highveld Electrical R61 050.00

Clamped to your own outstanding balance - a cascade never over-bills.

Frequently asked questions

Can subcontractors see my markup or cost rates?

No. Your catalogue, cost rates and markup never leave your account. A share carries at most each line's title and its selling total - and only at the level you choose: total only, line titles, or full lines and prices.

How does multi-company quoting work in Quotier?

The main contractor invites each subcontractor onto the job. Every company prices its own share from its own catalogue, in its own account, and shares it up at the level it chooses. The main contractor imports those shares as lines on its own quote, so the client receives one quote on one letterhead.

Why would I let another company anywhere near my job?

They don't see your job - they see one bounded space around one shared job: the documents you upload into the shared space, and whatever quote level was deliberately shared. Catalogues, rates, customers and every other job stay walled off, and either side can end the collaboration at any time, which also revokes the live share.

My subs won't sign up for another tool.

The invite is an email link. Accepting is free on every plan and takes a few minutes - and what your sub gets is not a guest login inside your system, but their own private Quotier they can keep using on all their own work.

We already run this on WhatsApp and email.

Keep them - that's where the conversation happens. Quotier replaces what happens after the message: the price retyped wrong into a master sheet, the 5pm revision that never made it in, and the 'what did we actually send the client?' that nobody can answer. The number arrives as data, not as a screenshot.

Is my pricing actually safe?

A share is filtered before it leaves your organisation - a total-only share never even contains your line prices - and the level you shared is a hard ceiling on what the end customer can ever be shown. Your prices never leave your organisation unless you explicitly share them, and you choose exactly how much.

Who can start a collaboration?

Starting one needs the Collaboration module, which builds on Job documents, and the invite is sent from the job by an owner or admin. Accepting an invite is always free, including on the free plan.

We're too small for this.

Start where everyone starts: free, on your own, 15 quotes a month, no card and no expiry. Collaboration simply sits there until the day a bigger contractor invites you onto a job - and accepting costs nothing.

Price your next big job together

Start free and invite the other contractors on your next tender - each in their own account, each sharing on their own terms. Or book a 20-minute demo and we'll walk your team through a real chain, end to end.
